Position Summary:

This position reports to the Program Director (PD). The position provides oversight for all administrative aspects of the Graduate Medical Education (GME) and Undergraduate Medical Education (UME) Programs at Morehouse School of Medicine (MSM) Dominican Hospital Santa Cruz. Specific responsibilities include project development and implementation, employee interviewing, hiring, orienting and supervision, overseeing marketing and communication, managing and reconciling all program finances, including grants. Oversees all aspects of resident recruitment through the National Resident Matching Program (NRMP). Supports the PD to ensure compliance with the Accreditation Council for Graduate Medical Education (ACGME) requirements, National Residency Matching program (NRMP), the Electronic Resident Application Service (ERAS), and the California Medical Boards. The position is also responsible for being the liaison among administration, the teaching faculty, system hospitals and other teaching sites, professional associations, and the program affiliates which is consistent with the Mission and Values of CommonSpirit Health, Morehouse School of Medicine, and More in Common Alliance.

Position Description:

  • This position reports to the PD and is responsible for the management of GME and UME program activities and resources on a daily basis. This includes staffing, directing, controlling and overseeing the patient care and educational efforts of the department in order to provide administrative, informational, and clerical support to the residents, faculty, other clinicians, and educators of the program.
  • The GME-UME Program Manager oversees the work of the coordinators as well as executive duties as assigned.
  • The incumbent is responsible to aid in the creation, monitoring and reconciliation of the Residency Program annual operating budget promoting cost-effectiveness through budgetary creation and compliance. Grant management is also included when available.
  • The incumbent's role is to oversee compliance to multiple accrediting, documenting, certifying and licensing agencies through IRIS, PSURV, AMA-FRIEDA, ROLIC, NRMP, ABFM, AAFP. This requires constant efforts to stay abreast of internal and external bylaws, rules, regulations, policies, procedures and requirements; and ensures that assignments for clinical service coverage and training supervision are current and accurate.
  • In the event of an emergency, the incumbent is responsible for overseeing the modification of assignments, rescheduling individuals, and negotiating support to ensure continuous patient care coverage and supervision of all areas.
  • The incumbent is responsible for supporting the PD in managing all contracts related to Residency Programs, GME and UME contracts with other hospital systems, and community physicians attending residency program rotations.
  • Additional responsibilities include developing and maintaining good communications with administrative staff, internal and external contacts to provide interpretation, expertise, and advice pertaining to ACGME accreditation, CMB licensure, DEA certification and other requirements relative to the clinical and educational functions of the position.

  • This position includes occasional travel for societal and group meetings to promote and represent the program.

Qualifications

Education/Experience:

  • Bachelor’s Degree - General education in a health-related field or a combination of education and experience.
  • Graduate medical education including residency training and requirements and ACGME requirements, applicable computer software, National Match requirements, and Medicare GME-related requirements.
  • Operational management, including budget preparation, experience in administrative support of a department, and demonstrated ability to manage detailed projects.
